Refund and Cancellation Policy for Sagaris ROS
How billing, cancellation, and refunds work on a paid Sagaris ROS plan, and what to do before you dispute a charge with your bank.

What this policy covers
This Refund and Cancellation Policy describes how billing, cancellation, and refunds work for paid Sagaris ROS plans. It supplements the Terms of Service, which remain the governing agreement between SAGARIS Inc and your business. Where this page and the Terms differ, the Terms control.
Sagaris ROS is sold to businesses for business use, not to consumers. Paid plans are purchased and billed through Stripe on the pricing and billing cycle shown at purchase, and a written order form or negotiated agreement can supersede anything on this page.
The standing position on refunds
Section 07 of the Terms of Service states that, except where required by law or stated otherwise in writing, fees are non-refundable. This page does not change that. It explains how that works in practice and what to do when you think your charge is an exception.
A billing error is not an exception we ask you to argue for, it is something we correct. Write to support@sagaris.ai if you see a duplicate charge, a charge raised after a cancellation had already taken effect, or a charge for something your workspace did not buy. We will check it against the billing record we hold for your workspace and put right anything that is wrong.
Any other refund is a commercial decision made in writing. If you believe your circumstances warrant one, tell us what happened at support@sagaris.ai and we will give you an answer in writing either way.
Cancelling a paid plan
You can cancel at any time from Settings then Billing inside the product. As stated in Section 11 of the Terms, cancellation takes effect at the end of the current billing period: your workspace keeps its plan for the period you have already paid for, and no further renewal is charged. Cancelling does not by itself refund a period already paid.
Cancelling is one step for a workspace owner or admin. The same page also lets them:
- Change to another plan tier instead, which takes effect through Stripe on your existing subscription.
- Keep the plan after cancelling, at any time before the billing period ends, so it renews as before.
- Update the payment method in the Stripe billing portal, reachable from the same page.
Usage, one-time purchases, and prepaid minutes
Usage is not invoiced. AI usage and call minutes are deducted from the dollar balance your plan includes each billing cycle; the included balance does not roll over, and when the balance reaches zero that usage stops until it resets or you top up. Text messages and email are included in your plan up to its limits, and reaching a limit does not add a charge to your invoice. An invoiced usage charge would be a change to pricing under Section 07 of the Terms: we would give notice, and it would take effect at your next renewal.
Additional phone numbers, additional sending domains, contact packs, and balance top-ups are one-time purchases you choose in the product, paid at checkout at the price shown there. A top-up adds dollars to your balance one for one, and top-up dollars do not expire. Each purchase is provisioned or credited to your workspace once the payment is confirmed, so it falls under the non-refundable position in Section 02 like any other fee, and cancelling a plan does not by itself refund one.
Where your agreement includes prepaid committed minutes, the unused balance expires at your contract anniversary rather than at the end of a monthly cycle, and the forfeiture is recorded as a dated event against the specific grant that expired, so the balance you held on any given date is always answerable.
Card disputes and chargebacks
If you disagree with a charge, contact support@sagaris.ai before disputing it with your bank. A dispute immediately reverses the payment through Stripe and opens a formal card-network process that takes considerably longer to resolve than a direct correction, and it costs both sides fees that a corrected invoice does not.
When a dispute is filed, Stripe notifies us immediately and we record it against our billing record. We would much rather fix the underlying problem with you directly, so tell us about it before you file.
Changes to this policy, and how to reach us
We may update this policy as the product and the law evolve. We will change the last-updated date above and, for material changes, notify workspace owners through the product or by email before the changes take effect.
